Field Notes

Sending bank confirmations before peak season

Coastal lenders process confirmation letters more slowly in March. Early mailing is still the cheapest way to protect your audit timetable.

Bank correspondence envelopes and a ledger on a desk

Bank confirmation letters look administrative until they delay the auditor’s report. In Wakayama and neighbouring prefectures, regional banks handle a surge of year-end letters at the same time companies are closing their books.

Authorise early, mail early

We ask clients to sign bank authorisation forms during planning — often six to eight weeks before year-end fieldwork. Letters then leave our office while interim testing is still underway.

Include all accounts, including dormant ones

Dormant yen accounts and foreign-currency deposits are easy to omit from the list finance hands us. Missing one forces a second mailing round when partner review is already booked.

Follow up with a named contact

A polite call to the branch’s confirmation desk two weeks after mailing usually surfaces stuck letters. Waiting until the week of report issuance rarely helps.

If your lender requires confirmation wording beyond the standard form, send us the template with your engagement enquiry so we can align the letter before peak season.
